What Microsoft publishes about Business Central pricing

Business Central is one of the few ERPs with a public US price list. Microsoft's pricing page shows three user types, and prices were raised in late 2025, so older articles quote 70 and 100 USD.

Plan Per user a month What it covers for a manufacturer
Essentials 80 USD Finance, sales, purchasing, inventory and warehouse basics. No manufacturing
Premium 110 USD Everything in Essentials plus manufacturing and service management: production orders, production bills of materials, routings, work centers, supply and capacity planning
Team Members 8 USD Light access for people who view data, approve, or enter time and expenses

All prices are Microsoft's US list prices on an annual commitment. A Cloud Solution Provider partner may price differently, and monthly billing usually carries a premium over annual. Check the live page before you budget, because Microsoft changes plan contents and prices.

What actually moves a Business Central bill

The licenses are a quarter of the story. These lines decide the total.

  • The Premium step. Moving from Essentials to Premium adds 30 USD per user a month. Microsoft keeps the two license types apart inside one environment, so most companies end up moving all full users, not just the planners
  • Team Members. Floor staff who only view orders or log time can take the cheaper seat, but each one is counted
  • Implementation. A partner configures items, routings, work centers, locations and the chart of accounts, migrates data and trains users. This is where quotes diverge most
  • Support. Partner support contracts are often cited at roughly 15 to 20 percent of the implementation a year
  • Add ons. Business Central's planning loads work centers with every operation that is due and respects capacity only on resources marked capacity constrained. Plants that want a finite sequence per machine often buy a scheduling app from AppSource, priced by its own publisher

Why Business Central implementation estimates disagree so much

Search for the cost of setting up Business Central for 20 users and you will find figures that differ by a factor of five. These are the ones we found, all third party and none a quote.

Source type What it says Scope
Partner guide 35,000 to 60,000 USD for a cloud implementation with 20 users Does not say whether manufacturing is included
Reseller guide 120,000 to 180,000 USD in deployment fees for 20 users, with a sample manufacturer budgeted at 120,000 USD Manufacturing heavy scope
General range 25,000 to 250,000 USD, with partner work often 1 to 2 times the first year subscription All company sizes

The gap comes from scope. Finance and inventory only is a small project. Production orders with routings, capacity setup, data migration, custom reports and training for planners and the floor is a much larger one. Get itemized partner quotes and ask what is counted in project management, migration and training.

What Business Central costs a 20 user plant over three years, worked through

Take a make to order plant with 20 full users and 25 floor staff on Team Members, one site. License figures are 36 months at Microsoft's US list prices. Implementation is the low and the high of the partner ranges above, shown as such, not as our estimate of your project.

Scenario Licenses over three years Implementation Three year total
Premium for 20 users plus 25 Team Members, low partner estimate 79,200 plus 7,200 USD 35,000 USD 121,400 USD
Premium for 20 users plus 25 Team Members, high partner estimate 79,200 plus 7,200 USD 120,000 USD 206,400 USD
Essentials for 20 users plus ProductionPlanning.ai Plant 57,600 USD plus 15,444 USD none for the schedule 73,044 USD
Essentials for 20 users plus ProductionPlanning.ai Line 57,600 USD plus 5,364 USD none for the schedule 62,964 USD

The scheduler rows exclude the Essentials setup you already have. They also leave out production orders in the ledger, which Premium provides and we do not. The point of the table is the plant whose reason for the upgrade is late orders. For that plant the Premium step costs 7,200 USD a year in licenses alone for 20 users, against 5,364 USD for three years of the whole schedule.

What to ask the partner before you accept the quote

  • Which of the 20 users need Premium, and can Essentials and Premium users share one environment in your setup
  • Is capacity planning set up with capacity constrained resources, and who maintains the work center calendars
  • Does the quote include migration of open production orders and routings, or only master data
  • What does the scheduling add on cost per year, and who supports it when it breaks after a Business Central update
  • How many hours are budgeted for planner training, and what is the rate after go live

If the answer to the schedule question is another add on and more hours, look at the Business Central manufacturing alternative that runs next to your ERP instead.

Business Central pricing compared with a flat price per plant

Per user pricing grows with every planner, supervisor and salesperson who needs to see the plan. A flat price per plant does not. ProductionPlanning.ai costs 149 USD a month on Line or 429 USD on Plant, with unlimited users, a published price and a cancel anytime monthly plan. It does not replace the ledger, purchasing or inventory, and it is not a Business Central module. It reads open orders and routings from a spreadsheet export, loads every work center against real shifts and setups, and names the orders that will ship late. Plants that run a lighter ERP or want the full list of shortlists can start on our Acumatica alternative and SAP Business One alternative pages. When the partner sends the proposal as a long email thread, a tool such as pulling the line items out of the quote emails into a spreadsheet saves retyping when you compare proposals across vendors.

Business Central pricing questions manufacturers ask

How much does Business Central cost for a manufacturer?

Licenses are 110 USD per user a month for Premium, the edition with manufacturing, and 8 USD for Team Members, paid yearly. Twenty Premium users cost 26,400 USD a year. Implementation is extra and ranges from about 35,000 to 180,000 USD in third party estimates, depending on scope.

Do I need Business Central Premium for manufacturing?

Yes. Manufacturing with production orders, routings, work centers and capacity planning is included in Premium only. Essentials at 80 USD per user a month covers finance, sales, purchasing and inventory without production. Moving up adds 30 USD per user a month.

How much is Business Central Premium compared with Essentials?

Premium is 110 USD per user a month and Essentials is 80 USD, a difference of 30 USD or 37.5 percent. For 20 users that is 7,200 USD a year. Microsoft keeps the license types separate in one environment, so most companies move every full user to Premium.

Does Business Central have production scheduling?

Business Central plans production orders and loads work centers, but it respects capacity only on resources marked capacity constrained and does not build an automatic job sequence per machine. Many plants add a scheduling app or a separate scheduler. ProductionPlanning.ai costs 149 USD per plant a month with unlimited users.

How long does a Business Central implementation take?

Finance and inventory projects often take weeks. A manufacturing implementation with routings, capacity setup and data migration usually takes several months, according to partner guides. A schedule that runs next to the ERP takes an afternoon: import a spreadsheet of open orders and enter shifts.

Price the schedule before you price the upgrade

Run the demo on a real week of orders and compare the late order list with what Business Central shows today. Then decide whether you are buying production orders or a schedule.
