What ProShop publishes about its pricing

ProShop's own pricing page is short. It does not show plans, tiers or dollar amounts. It commits to three things.

  • Pricing is based on users
  • You choose between the standard version and the government version
  • Dedicated, continuous support is included

Everything else happens on a call. That is normal for ERP software sold into regulated precision shops, where the scope of an implementation varies enormously between a 12 person job shop and a 150 person aerospace supplier. It does make budgeting hard, because you cannot compare ProShop against anything until you have spent an hour with a sales rep.

Capterra's listing confirms the shape: one plan, custom quote, billed per user per month, with no free version and no free trial.

The ProShop ERP cost estimates you will find online

Because the vendor publishes nothing, the numbers in circulation come from review and directory sites. The most detailed is SoftwareFinder. Treat all of these as estimates from third parties, not a ProShop price list.

Shop size, per SoftwareFinder Estimated subscription Per year
Small shop, 5 to 10 users 500 to 715 USD a month 6,000 to 8,580 USD
Mid sized shop, 10 to 30 users 800 to 1,800 USD a month 9,600 to 21,600 USD
Large shop, 30 users or more 2,000 to 4,000 USD a month or more 24,000 to 48,000 USD or more

SoftwareFinder also says the base subscription covers the ERP, MES and QMS functions, that contracts typically run a 12 month minimum billed annually, and that implementation is priced separately. Other listings add a per user figure of around 150 USD a month. The two views are not really in conflict: one is a monthly floor for a small shop, the other is a rate for adding people, and the user roles ProShop quotes against (shop users, office and managers, executives) are not all priced the same.

What actually moves a ProShop quote

Five things decide the number on your proposal. Know your answer to each before the call and the quote will come back faster and closer to reality.

  • User count and role mix. A shop user who clocks jobs and reads travelers is a different licence from an office or management user. Count both, today and in two years
  • Standard or government. ProShop SAFE runs in AWS GovCloud for ITAR, DFARS and CMMC work. If you handle controlled technical data you need it, and it is priced differently
  • Implementation scope. Going paperless means building travelers, work instructions, inspection plans and quality forms. SoftwareFinder puts implementation and setup at 20,000 to 150,000 USD or more, depending on how much of the shop moves at once
  • Data migration. Old job history, part routings and customer records have to come across. If your history lives in scanned travelers and PDF purchase orders, pulling the data out of scanned documents before migration is usually cheaper than paying someone to key it in
  • Training. Every role needs to learn a new system. Budget the shop's own hours as well as the vendor's fee

The subscription is rarely the biggest number in year one. For most shops the implementation is.

What ProShop ERP costs over three years, worked through

Here is the arithmetic for a 12 person machine shop using the published estimates. It is a sketch rather than a quote, and your real proposal will differ.

Cost line Low case High case
Subscription, 3 years at 500 to 715 USD a month 18,000 USD 25,740 USD
Implementation and setup, per SoftwareFinder 20,000 USD 150,000 USD
Internal hours for training and configuration Your own time Your own time
Three year total before internal time 38,000 USD 175,740 USD

For a shop that genuinely replaces quoting, travelers, quality records and job costing with ProShop, that can be money well spent. Paper travelers, a quality binder and three spreadsheets cost real hours every week, and audits are easier when the records live next to the work.

For a shop whose real complaint is "we never know which job will be late", it is a lot to pay to fix one problem. A finite capacity scheduler on our Plant plan costs 4,290 USD a year paid yearly, so 12,870 USD over the same three years, with no implementation fee and unlimited users. Line, for up to 10 work centers, is 1,490 USD a year.

What to ask ProShop on the pricing call

Go into the call with these questions written down. They are the ones that change the number.

  • What is the price per user for each role, and which of my people fall into which role
  • What is the minimum user count and the minimum term
  • Is the price locked for the term, and what is the renewal increase cap
  • What does implementation include, what is billed separately, and is it fixed price or time and materials
  • Do I need the government version for my customers, and what does it add
  • What does it cost to add a machine screen or a kiosk for the shop floor
  • If we start with scheduling and the shop floor only, what is the price, and can we add quality later
  • What happens to our data, and in what format, if we leave

Ask for the quote at today's headcount and at the headcount you expect in two years. Per user pricing grows with the shop, and it is the second number that decides whether you can afford to put the whole team on the system.

ProShop ERP pricing questions people ask

How much does ProShop ERP cost?

ProShop does not publish a price. It quotes each shop per user, with a standard or a government version. SoftwareFinder estimates 500 to 715 USD a month for a 5 to 10 user shop and 800 to 1,800 USD for 10 to 30 users, with a 12 month minimum billed annually and implementation priced separately.

Does ProShop ERP charge per user?

Yes. ProShop's pricing page states that pricing is based on users, and review sites describe separate user roles for the shop floor, the office and executives. Every person who needs to log in is part of the quote, which matters when you want a screen at every machine.

How much does ProShop implementation cost?

ProShop does not publish implementation pricing. SoftwareFinder estimates 20,000 to 150,000 USD or more for implementation and setup, with data migration, workflow configuration and training listed as further separate costs. The range is wide because a paperless rollout across quality and inspection is a much bigger job than scheduling alone.

Does ProShop have a free trial?

No. Capterra lists no free trial and no free version. You see ProShop through a demo with a sales engineer. If you want to test a schedule on your own jobs before committing, our demo runs on a sample week in the browser and paid plans start at 149 USD a month.

Is ProShop ERP worth it for a small machine shop?

It can be, if the shop wants to go paperless and needs quality records inside production, for example for AS9100 work. If the shop quotes and invoices fine and mainly ships late, the subscription plus implementation is a lot to spend on a scheduling problem, and a dedicated scheduler is the cheaper fix. Our machine shop page covers that setup.

How does ProShop pricing compare with JobBOSS2?

Both are quote only and licensed per user. JobBOSS2 splits into Silver, Gold and Platinum packages with Scheduling and Quality as an either or choice below Platinum, while ProShop sells one integrated platform. We did the same arithmetic for ECI in JobBOSS pricing.

Price the schedule before you price the ERP

If late orders are the problem, fix them first for a flat price per plant with the whole shop included. Start on Line at 149 USD a month, or run the demo on a sample week of jobs and see where your bottleneck really is.
