QuickBooks production scheduling software that shows which orders ship late

ProductionPlanning.ai is production scheduling software for manufacturers who keep their books in QuickBooks. QuickBooks records what you bought, built and invoiced, but it does not decide which job runs first on which machine, so most plants schedule in Excel or on a whiteboard. We load every work center against its real shifts and setups, name the orders that will ship late, and rebuild the week after a breakdown in one click. It costs 149 USD per plant a month with unlimited users, and QuickBooks stays exactly where it is.

Free for 14 days on your own orders and machines. No card.

02 The name

Why QuickBooks alone cannot schedule production

Production supervisor checking a work order list beside a machining center

QuickBooks is accounting software with inventory, assemblies and purchase orders. Whichever edition you run, QuickBooks Online or QuickBooks Desktop Enterprise with its Manufacturing and Wholesale edition, it keeps stock levels, bills of materials and costs. We found no QuickBooks edition that documents a finite capacity schedule, a machine by machine job sequence or a late order forecast. Every vendor that sells manufacturing software for QuickBooks users says the same thing in its own pitch.

That leaves the plan in somebody's head or a spreadsheet. It works at five orders a week and fails at fifty, when two rush jobs land on the same press and nobody sees the conflict until Friday.

03 Why switch

What QuickBooks manufacturers run into

  • Orders sit in QuickBooks as invoices or sales orders with a due date, but no machine, no sequence and no hours
  • Work order and bill of materials tools in QuickBooks tell you whether you have the parts, not whether you have the capacity
  • The real schedule lives in an Excel file that one person maintains, and it breaks the day that person is out
  • A breakdown, a rush order or a missing part means retyping dates by hand
  • Setups and changeovers are not counted, so the plan assumes machines that never stop
  • A customer asks "when will my order ship" and the answer is a guess

Adding a full ERP to fix this is the most expensive route. Most plants only need the schedule layer on top of the accounting they already trust.

04 How the schedule

How the schedule works next to QuickBooks

1. Export open orders from QuickBooks

Export open sales orders or work orders with item, quantity and due date, and add the routing steps with work center and run time. A CSV or an Excel sheet is enough, and the same sheet works if you only keep this in a spreadsheet today.

2. Enter work centers and shifts

Add each machine or work center with its shifts, holidays and planned maintenance. For a plant with 20 work centers this takes about an hour, and it is what makes the schedule finite.

3. Read the plan

The software sequences the jobs on every machine, shows the projected finish date of each order and names the bottleneck of the week with the orders it will make late.

4. Adjust and publish

Drag a job to another day or machine and see the knock on effect before you save. Publish the schedule so supervisors, sales and the shop floor all read the same plan, with no extra license for any of them.

05 Compare

QuickBooks, QuickBooks add ons and a dedicated scheduler

What matters QuickBooks Manufacturing add on for QuickBooks ProductionPlanning.ai
Main job Accounting, invoicing, stock Bills of materials, work orders, purchasing Finite capacity schedule per machine
Finite capacity by shift No Depends on the product and tier Yes, on every work center by default
Job sequence per machine No Often a work order list by date Built automatically, adjust by drag and drop
Late order forecast No Dates by work order Projected finish date for every order
Setup times by product family No Rarely Yes, with automatic grouping on Plant
Pricing model Per user or per company, by edition Per user or by tier Flat per plant, unlimited users
Published price Yes Varies Yes, 149 USD a month on Line, 429 USD on Plant
Works with QuickBooks Online and Desktop Not applicable Depends on the product Yes, through a CSV or Excel export
06 Where they win

Where a QuickBooks manufacturing add on is the better buy

We would rather you buy the right thing. Choose a manufacturing add on over a scheduler alone if any of these applies.

  • You need bills of materials, work orders and purchasing tied to QuickBooks stock and costs, and you have no system for them yet. MISys, Fishbowl and Katana exist for that, and our Fishbowl alternative and Katana alternative pages say where each fits
  • You sell mostly online and your inventory is the hard part, not the machines
  • You make to stock in a handful of steps and the schedule is not what hurts

If your problem is that orders ship late and nobody can say why, that is a scheduling problem, and an inventory add on does not solve it.

07 Where we win

Where a dedicated scheduler wins

  • A finite schedule on every work center and shift, with holidays and maintenance windows, on every plan
  • Job sequences built for you, then adjusted by drag and drop, with the knock on effect shown before you save
  • Setup times per product family and automatic grouping of similar jobs on Plant, so changeovers stop eating machine hours
  • A projected finish date for every open order, so sales can quote a real date
  • Unlimited users at a flat price per plant, so there is no license to buy for each supervisor
  • A published price and a cancel anytime monthly plan

The clearest fit is a 5 to 100 person make to order or batch plant that runs QuickBooks and plans in Excel today. See how we load machines on capacity planning software, how we handle make to order work on job shop software and why plants leave the scheduling spreadsheet.

08 Cost

What it costs next to QuickBooks

Intuit raised Desktop Enterprise prices in 2026, and third party guides put the Gold, Platinum and Diamond tiers at roughly 2,200 to 5,400 USD a year for the first user, with per employee fees on top. Check Intuit's page for your tier. The point for this decision is that none of those tiers is a scheduler, so you are not choosing between QuickBooks and us. You keep QuickBooks and add the schedule.

Plan Price Includes
Line 149 USD a month The whole plant, unlimited users, finite capacity schedule
Plant 429 USD a month Setup grouping, shortage checks, operator start and finish at the machine

Over three years that is 5,364 USD on Line or 15,444 USD on Plant, for every user in the building. See the plans for the full list.

09 Questions

Questions QuickBooks manufacturers ask about production scheduling

Does QuickBooks have production scheduling?

Not as a finite capacity schedule. QuickBooks tracks inventory, assemblies, purchase orders and costs, but it does not sequence jobs on machines or forecast which orders will be late. Manufacturers add a scheduling tool or a spreadsheet next to it. ProductionPlanning.ai is that tool, from 149 USD per plant a month.

What is the best production scheduling software for QuickBooks?

It depends on the gap. For bills of materials and purchasing tied to QuickBooks stock, plants look at MISys, Fishbowl and Katana. If the gap is the schedule, a finite capacity scheduler fits: ProductionPlanning.ai takes a spreadsheet of open orders from QuickBooks and publishes a plan the same afternoon.

Does ProductionPlanning.ai integrate with QuickBooks?

It works with QuickBooks through an export. You export open orders and routings from QuickBooks Online or Desktop as a CSV or Excel file, import them, and read the schedule. Accounting, invoicing and inventory stay in QuickBooks, and nothing is switched off.

Is QuickBooks Enterprise Manufacturing and Wholesale enough for a job shop?

It covers costing, inventory and assemblies for manufacturers, which is what accounting needs. A job shop also needs to know which job runs first on which machine and when each order will finish. Third party sources describe no scheduling inside Enterprise, so job shops add a scheduler.

How much does production scheduling software for QuickBooks cost?

Prices run from per user plans of about 49 USD a month to quote only ERP systems. ProductionPlanning.ai costs 149 USD per plant a month on Line or 429 USD on Plant, unlimited users, with no implementation project.
